What are PURCHASE ORDERS used for?
A Purchase Order is an efficient, printed means of pre-authorisation, reference and record keeping in your office, used in business transactions to request goods or services from a supplier.
Purchase Order Books are essentially a request for payment for goods or services that a business has ordered.
They typically contain details such as the type and quantity of goods or services requested, the agreed price, payment terms, and delivery date.
In the UK and Ireland, purchase orders are primarily used by larger businesses and organisations that have established procurement processes.
These may include:
✓UK Government Agencies
✓Educational Institutions
✓Large Corporations
✓Manufacturing companies
✓Retail businesses
✓Healthcare companies
What do Purchase Orders look like?
Personalised Purchase Order Book features include:
Sequential Purchase Order Number (the most important part!); Your Company details and logo, Order To; Delivery Address for Goods; Order Date; Required Delivery Date; Ordered by whom; Ordered with whom; Quantity of Goods; Descriptions of Goods or Services; Price of Goods or Services; VAT Total; and Total Price.
Finally it has a Signature line by the Authorised Person who ordered the Goods or Services from the Supplier.
Here's a close-up of many of their features:
Who uses Purchase Orders?
Purchase orders are used in a variety of industries including Manufacturing, Retail, and Healthcare.
They are particularly important in industries where the cost of goods or services is high or where accurate record-keeping is critical.
What can you do with Purchase Order Pads?
Your Supplier can then quote the individual purchase order number back to you at the invoicing stage when they're requiring payment for their goods or services.
You can cross-reference the internal order from yourselves, or find out which of your staff ordered or authorised the goods or services in the first place.
What are Purchase Order Books printed on?
Records of purchase in most businesses are still on paper and thus there's a need for proper personalised, purchase orders in which Carbonless NCR is perfect.
This paper typically comes in sets of two, three, or four copies, with each copy being a different colour to help differentiate them.
Options for NCR paper may include the number of copies, the size of the paper, and the colour of the copies.
Many users wish to have professional formatting on them mostly for brand recognition.
TradePrintingUK's free purchase order template generator can create personalised artwork for you.
A company may wish to have a strong understanding of purchase transactions or to know the basic requirements of purchase order.
It may also make it part of business documentation, which makes the process easier while keeping record of all transactions and to have good impression on the client or customer.
Different carbon copy variants of Purchase Orders include:
- Duplicate Purchase Order Books
- Triplicate Purchase Order Books
- Staples Purchase Order Books
- Pukka Purchase Orders
- Tops Purchase Order Pads
