What are CVI Forms?

A CVI (also called a 'Confirmation of Verbal Instruction' as well as an 'Oral Confirmation Sheet') is a crucial procedure form used by British construction companies and builders, to formally give a Contract Administrator the legal power to issue site instructions to the Contractor.

This helps to avoid misunderstandings and disputes, and ensures clarity and understanding between all parties involved the work that needs to be done.

What are the benefits of using CVI forms?

Improved Communication: CVIs help to improve communication between clients, contractors, and other stakeholders on a UK construction project

Reduced risk of Errors: By recording verbal instructions in writing, there is less chance of misunderstandings or errors

Reduced risk of Disputes: If there is a dispute about what was agreed to, it can provide a clear record of the instructions that were given by a Contract Administrator. This can help to resolve disputes quickly and fairly

Better record-keeping of Changes: They provide a valuable record of the changes that have been made to a construction project. This can be helpful for future reference, such as when it comes to making Claims or resolving Warranty issues.

What features are on Confirmation of Verbal Instruction forms?

Features include:

  • Confirmation of Verbal Instruction heading
  • Company's name & address
  • Date
  • Job No
  • Site Instructions with big area for description
  • Drawing & Sketch attached tick boxes
  • Photos taken on-site with tick boxes
  • Client Signature panel
  • Company Signature panel
  • Sequential Numbering process is optional

Ideally, CVI forms should only be used for minor variations.

They can be a useful tool to speed up construction site progress, but given the widespread proliferation of smart phones, there surely can be extremely few occasions where a written instruction cannot be issued immediately via e-mail.

This can generally be done within minutes of giving a verbal instruction to the contractor on site. I suspect it is a matter of time before the JCT remove the CVI procedure from its contracts.

How should a CVI be drafted?

When drafting a CVI, as a minimum it should ideally:

  • Include a heading of “Confirmation of Verbal Instruction”
  • State when and where the verbal instruction is given
  • Provide full details of the verbal instruction
  • Identify who gave the instruction and to whom it was given

What optional extras are available if I printed these forms with you?

Optional Extras that TradePrintingUK.com have available for enhanced usability are:

Attached Hinged Writing Shield (aka 'Wrapover Shield') are a permanently attached White Card option, that you place under the NCR Set you're writing on to prevent the next Set down replicating the current document too. It's convenience of being attached makes sure it doesn't get lost or fall out, unlike a standard inserted writing shield.

Drill Holes (either 2 or 4 Holes are available at A4 size) facilitate easy filing and organisation of each report for future reference.

Flexible Quantities whether you’re a small construction business or a large enterprise, we’ve got you covered as our Daily Reports are available in various print quantities, starting from just 2 Pads or Books (with 50 NCR Sets in each), catering to UK or Irish building businesses of all sizes.
