WHAT ARE CVI Forms?
A CVI (also called a 'Confirmation of Verbal Instruction' procedure form, as well as an 'Oral Confirmation Sheet') is used by construction companies and builders to give a Contract Administrator the legal power to issue site instructions to the Contractor.
CVI Features include:
- Confirmation of Verbal Instruction heading
- Company's name & address
- Job No
- Site Instructions with big area for description
- Drawing & Sketch attached tick boxes
- Photos taken on-site with tick boxes
- Client Signature panel
- Company Signature panel
- Client Signature panel
- sequential numbering process is optional
Ideally, CVI forms should only be used for minor variations.
They can be a useful tool to speed up construction site progress, but given the widespread proliferation of smart phones, there surely can be extremely few occasions where a written instruction cannot be issued immediately via e-mail.
This can generally be done within minutes of giving a verbal instruction to the contractor on site. I suspect it is a matter of time before the JCT remove the CVI procedure from its contracts.
How should a CVI be drafted?
When drafting a CVI, as a minimum it should ideally:
- Include a heading of “Confirmation of Verbal Instruction”
- State when and where the verbal instruction is given
- Provide full details of the verbal instruction
- Identify who gave the instruction and to whom it was given
