WHAT ARE PPI ENVELOPES AND THEIR ADVANTAGES?
Postage Paid Impressions (PPIs), aka PPI Envelopes, are a very cost-efficient and convenient postal service offered by Royal Mail for British businesses in the UK to post large amounts of business mail, including Direct Mail, letters, flyers and brochures to
their current or potential customers.
This allows UK-based office managers, marketers and mail room staff to save time in not having to individually place a postage stamp on a letter, or spend time at their franking machine when doing higher volumes, or mass mail-outs of printed envelopes.
The Royal Mail will also collect your mail directly from you once per day, saving your staff even more time in not having to visit the local Royal Mail sorting office or Post Office. There is no minimum quantity and they will collect everything from a single letter up to thousands of envelopes every day.
The other huge advantage with PPI Envelopes is that there are usually significant cost savings with postage costs compared to normal Royal Mail tariffs and usually even more than their reduced franking machine tariffs as well, although they’re normally only suitable for lower, daily volumes of office post such as bills and transaction receipts etc.

WHAT DO PPI POSTAGE PAID ENVELOPES LOOK LIKE?
Printed Postage Impressions (aka “PPI Envelopes” or “PPI’s”) are a Royal Mail-approved
licence design and service, which feature pre-paid and pre-printed indicia marks in the
top right-hand corner of either a DL, C5 or C4 mailing envelope design, identifying that
the company’s postage cost has already been pre-paid before it was sent.
The three most popular services from Royal Mail’s PPI service for pre-paid Printed
Envelope designs within the UK are:
PPI 1st Class prepaid designs - using ‘1’ Royal Mail GB indicia mark
PPI 2nd Class prepaid designs - using ‘2’ Royal Mail GB indicia mark
PPI Economy (aka Mailsort™) designs - using ‘M’ Royal Mail GB indicia mark
The Royal Mail also have other Parcel-based PPI designs including Royal Mail 24™,
Royal Mail 48™, plus other International Mailing and Parcel shipping indicia designs
However, Trade Printing UK don’t currently accommodate those parcel-specific indicia
in-house as it concentrates solely on the PPI 1st Class, PPI 2nd Class, and PPI Economy
WHAT WILL A PREPAID PPI LICENCE FROM THE ROYAL MAIL COST ME?
Your company will need to acquire both an annual PPI Licence from the Royal Mail, plus set up a Credit Account with them. You only pay for what you use and the postage cost
is payable directly to the Royal Mail.
The Royal Mail PPI Licence currently costs £112.80 per year. Renewable annually.
You will then need to apply for a Credit Account with the Royal Mail PPI division as well, which will allow you to pay for each actual envelope’s postage cost that is used.
HOW DO I GET A PPI LICENCE NUMBER?
UK companies will first need to apply to the Royal Mail to acquire a PPI licence and then to set up a Credit Account before a company can use PPI on their letters and mailings.
Phone the Royal Mail PPI team in Barnsley on 08457 950 950, then hold, then type 2, then hold, then type 1.
That telephone sequence will quickly get you through to a real human being in that specific dept.
They are usually extremely helpful, friendly and will talk you through the different choices.
HOW DO I GET PPI POSTAGE PAID ENVELOPES?
Once you’ve applied to the Royal Mail to get a PPI licence as well as setting up a Credit Account via a Royal Mail Online Business Account, your company can then use PPI on your letters and mailings once you’ve generated the relevant artwork required for
printing PPI envelopes.
The quickest way to get a PPI envelope design made is to use the Royal Mail PPI Generator where you’ll have to enter:
- your PPI Licence Number (e.g. HQ9999 or SOUTHAMPTON9999)
- then Select the Class of postage
- Pick either: Royal Mail 1st Class, Royal Mail 2nd Class, or Economy.
Trade Printing UK only work with those three popular PPI types.
- The other 14 variations (Royal Mail 24 etc.) are purely for Parcel-based postage only, or International, or Welsh language use only.
- then Select the Size of PPI.
Trade Printing recommend the trendy, minimalist square version 30mm x 58mm.
- the process will finish with a PPI Preview, showing you what your artwork will look like before you download it.
- Download the final file, either as Jpeg or Tiff. It doesn’t matter which version of digital file you download, whether Jpeg or Tiff, but usually Jpegs are better for E-mail transit
from PCs. The Royal Mail’s website makes them an identical [relatively] high resolution in the end though.
